What does an outsourced finance team actually do?

Everything from the everyday processing to month end, reporting and cash forecasts. Here's what an outsourced finance team takes on, what stays with you, and how to tell it's working.

More than bookkeeping from somewhere else

A bookkeeper records what happened. A finance team makes sure those records are right, closes the month on time, explains the result and looks ahead at cash. An outsourced finance team does all of that for you, as one team that gets to know your business, rather than a bookkeeper here, a payroll bureau there and an accountant you hear from once a year.

The everyday work

Purchase and sales invoices, bank and card reconciliations, supplier payment runs, chasing customers and checking expenses. It’s the work that keeps the numbers right from one day to the next. Done well, it means that when something looks odd, like a supplier balance that won’t agree or a payout that’s short, it gets picked up and sorted that week rather than discovered at month end.

Month end and reporting

Each month the team closes the books to a set timetable: everything reconciled, accruals and prepayments in, the balance sheet checked. Then come the management accounts, built around how you run the business, with commentary that explains what changed and why. Because the same people did the everyday work, they already know the story behind the numbers.

Looking ahead

A cash forecast and budget built from the same records. This is where decisions get easier: whether you can afford the next stock buy, when a new hire makes sense, or what opening another site does to cash. Payroll, VAT and systems work sit in the same team, so everything joins up.

What stays with you

You still approve the payments and make the decisions. The team prepares the payment run and you authorise it. The team builds the forecast and you decide what to do with it. Your part is answering the questions only the business can answer, and getting your time back for running it.

Example: a growing retailer has a part-time bookkeeper posting invoices, an owner checking supplier payments at the weekend and an accountant who sees the numbers once a year. An outsourced finance team takes on the reconciliations, payment runs, month end and a monthly cash view. The owner now approves payments in ten minutes on a Tuesday and gets management accounts by working day five.

How to tell it’s working

Month end closes on the same day each month. Balances agree, and you hear about problems before they cost you anything. Your questions get straight answers, and your team knows who to ask. The simplest test: running the business feels easier.

What to look for

  • Month end closed to a set timetable
  • Balances that agree, every month
  • Problems raised before deadlines
  • Reporting that answers your questions
  • One team your people know how to reach

Where to start

Write down who does what today, what’s taking too long and what you wish you knew each month. It quickly shows where an outsourced team fits: the whole finance function, or the gaps your own team can’t cover.
